Introduction to printing

  • Windows 2000  offers all of the printing features of windows 9x  including printer properties and background printing.

  • Windows 2000  also offers security features that windows 9x  does not have allowing selected users to print and manage the printer both locally and remotely

Printing Terminology

  • Printer: The printer can be thought of as the operating systems interpretation of the print device or the software  interface  representing the printer on the operating system .

  • Printer Port : This is the physical port from the computer for communicating to the printer e.g. LPT1 , COM1, and USB .

  • Printer Device: The Print device is the hardware printer, which prints the documents.

  • Printer Driver: These are software  files  specific to the installed printer used to communicate with the printer translating generalized commands to printer specific commands.

Printer Installation

  • Windows 2000  provides you with an improved printer installation  wizard, which is both easy to use and quick.

  • There are two sorts of printers  installed on a windows 2000 system:

  • A Local Printer

  • A Network Printer.

  • Local printers  installed on a computer can be shared on a network  if a network has been setup.

Network Printers

  • A printer must have been previously installed on a network  on another computer and shared on the network before it can be accessed as a shared printer.

Network Printer Requirements

  • The print server should have enough RAM  and hard drive  space to handle the printing load from the print jobs as well as store all the jobs from the network  in a print queue ready for printing in order.

  • The print device should also have enough memory  on board to be able to handle to most graphical and large sized documents alleviating some of the pressure on the print server.

 

Network Printers Guidelines

  • Windows 2000  professional has a limitation of 10 concurrent printer connections.

  • Ensure that the name you select for the printer defines the printer as to what sort of printer it is and where it is located in a networked environment.

Network Printers And Operating Systems

  • Windows 2000  professional only supports Microsoft and UNIX  clients and has no support for Netware and Macintosh clients which windows 2000 server supports.

Network Printers

  • A Windows 2000  print server automatically sends the correct printer device drivers  from its database to the printer client’s machine such as window 9x and Windows NT  directly. The print manager is required for clients such as windows 3X and windows for workgroups (WFW).

 

Installing A Network Printer

  • Using the Add Printer Wizard you must search the peer-to-peer network  or the active directory  to find the shared printer or type the UNC  path  to the printer if known.

Downloading The Printer Driver

  • The system will then download the required printer driver  on to your machine provided you have been given the security permissions  to use the printer.

Network Printer Security

  • High levels of security may be set on the printer in secure operating systems such as Windows NT  and Windows 2000 .

User Printer Permissions

  • Since windows 2000 is a secure environment, it can control who has access to the print device and how much control they have over the print jobs.

  • By default the everyone group  is given access to the printer and can manage his or her own print jobs.

  • Higher levels of permission can be assigned which can allow print jobs access and priority to be controlled.

  • These permissions  include Print, Manage document, and finally Manage printer.

 

Printer Permissions

  • If a user has only Print permissions , they can connect, print, pause, resume, and cancel their documents

  • If a user has the Manage Document permissions , they can connect, print, pause, resume, and cancel their documents and other client’s documents.

  • If a user has the Manage printer permissions , they can Manage Documents as well as share printer, change printer properties and cancel all documents.

Point And Print

  • There exists a point and Print feature in windows 2000, which downloads the networked printer driver  to you local system as soon as the printer services  are requested provided you have the permission to use that printer.

 

Direct Networked Printers

  • You can install a printer and have your computer act as a print server to a print device, which is connected directly to the network  and not to your machine improving communication  speeds.

  • This allows the print server to exist in a different location to the printer which means that the print devices  can be placed strategically anywhere on the network  where it can be accessed most easily.

 

Printer Properties

  • Printer properties  allow us to view and change some of the settings of our printers , paper settings, and what is eventually printed.

  • Printer properties  is a direct way of resolving any software  problems such as driver  corruption  and some hardware problems such as printer head cleaning

Background Printing

  • If a slow printer is installed on the computer, then windows 9x  can take a snap shot of the print job and place it in an Enhanced Meta File (EMF ) to be converted  in the background to the final RAW  printer specific image ready for printing and does not interfere with other applications  that the printer could be using..

  • The direct conversion to a RAW  image without an EMF  file can be slow and processor intensive which could interfere with other applications .

Printing a Document

  • You can print any document by choosing the print option in your application.

  • The print option also allows us to decide on the paper orientation, which page to print in the document, the quality of the printout and the quantity of the printout.

  • In windows 2000 you could use the point and print capabilities to print directly on a networked printer.

 

The Print Manager

  • The Print manager  or the print queue allows us to check how many print jobs are in a queue to be printed, to cancel or pause certain print jobs and find out printer status.

Redirecting Print Jobs

  • Print jobs on one printer print queue can be redirected to another printer if the printer becomes unavailable.

  • Printer clients must be informed of the new location of their redirected files .
